Executive Assistance & E-Commerce Operations Support

Executive support for founders. E-commerce ops for growing brands.

I help busy executives and online brands run cleaner operations: calendars, inboxes, product catalogs, recruitment, and the documentation that holds it all together.

A quiet operator behind well-run businesses.

I run Roxanne Executive Operations, providing executive assistance and e-commerce operations support to founders, executives, and online brands across multiple time zones.

My background combines 4+ years of executive assistance for C-suite leaders and founders across the US and UK, e-commerce operations across Shopify, Etsy, and eBay, and operations leadership from academia. I am comfortable owning an executive's calendar, optimizing a product listing for SEO, building recruitment pipelines, and writing the playbooks that turn one-off tasks into repeatable systems.

I bring doctoral-level training in business management and a Master's in Business Administration to the work. That training shows up in how I think: clearly, systematically, and with respect for the time of the people I work with.

What clients say.

"

Excellent work across the board. Roxanne's submissions are the most thorough I've received in the past year, and her judgment on the projects I've handed over has genuinely made my day. Glad to have her on board.

Roxanne is a highly dependable Executive Assistant who doesn't just complete tasks — she takes ownership of outcomes. She's detail-oriented, proactive, and strong at turning messy instructions into clear action items, polished communications, and organised workflows. Her consistency, adaptability, and willingness to learn make her a valuable operational partner. The kind of VA/EA I'd trust with sensitive, fast-moving work.

Roxanne has been an outstanding support to our business operations. Her work is precise, organised, and highly detailed — the way she structures completed task lists, reports, and project documents makes it easier to manage multiple priorities. Her NDA draft was one of the strongest I've reviewed, even compared with documents from experienced legal professionals — and she was careful to note it still required proper legal review, which showed real judgment. She turns broad ideas into structured outputs, action items, and follow-up plans, and her attention to dates, version clarity, and detail keeps important work from getting lost. A valuable part of the team.

Common questions.

i. Working relationship

I'm based in the Philippines (PHT, GMT+8) and primarily support clients in the UK and the US.

My standard availability comfortably overlaps with:

  • UK business hours (9:00 AM–5:00 PM UK time)
  • US Central Time mornings and early afternoons
  • Flexible overlap for urgent operational requirements

Most of my current work runs on UK time, so I'm well practised at managing cross-time-zone coordination.

During working hours, I typically respond within 30 minutes, and always within the same business day. I am online across my communication apps throughout the day so nothing falls through the cracks.

For urgent matters, response times are often faster. I prioritise proactive communication, so clients are consistently updated without needing to follow up.

I generally maintain standard business-day availability to protect long-term consistency.

That said, I accommodate weekend or holiday support for urgent operational issues, product launches, recruitment deadlines, or time-sensitive requests, when agreed in advance.

My onboarding process is structured, fast, and low-friction:

  • Discovery call or initial consultation
  • Scope clarification and service recommendation
  • Proposal and agreement confirmation
  • Access setup and onboarding documentation
  • Kickoff and workflow alignment
  • First active deliverables within the first few business days

Most clients are fully onboarded within 3–7 business days.

ii. Scope & capacity

Yes, within reason. My core expertise is executive assistance, operations, e-commerce coordination, recruitment, process management, and business administration.

Many clients also involve me in adjacent areas: vendor coordination, basic marketing operations, CRM management, reporting and dashboards, SOP creation, hiring pipelines, customer experience improvements, and cross-functional project coordination.

If a task falls outside my direct expertise, I'll either learn and adapt quickly if practical, recommend a better specialist, or coordinate with an existing contractor on your team. I don't overpromise on highly specialised technical work.

I keep my long-term retainer roster limited to a maximum of 3 clients at a time.

I don't believe in overloading my schedule. My focus is on maintaining a high standard of work, responsiveness, and dedicated support for each client. Quality over volume.

Yes. Many clients start with a paid trial week, a short-term project, a smaller monthly package, or a pilot engagement for a specific operational need.

This lets both sides assess workflow compatibility, communication style, and execution quality before committing to a longer-term arrangement.

Extra hours can be accommodated at a rate matched to your plan: $25/hr (Starter), $28/hr (Growth), or $35/hr (Partner), billed in 1-hour increments. Additional hours are subject to availability and prior approval. I notify clients once usage reaches approximately 80% of allocated hours, so there are no surprises.

Unused hours are generally not banked long-term, but small rollovers may be accommodated when discussed in advance.

If workload consistently changes, I'll recommend adjusting your package rather than forcing an inefficient setup.

iii. Operations

I adapt to whichever systems you already use. Common platforms include Slack, Microsoft Teams, Discord, WhatsApp, Zoom, Google Meet, email, Asana, ClickUp, Trello, Notion, and Google Workspace.

I usually combine fast communication channels with structured project management tools to keep operations organised, transparent, and efficient.

Confidentiality and operational security are core to how I work. I regularly handle financial reports, HR documentation, supplier pricing, customer systems, and executive communications.

My standard practices:

  • Separate devices and dedicated work environments per client where possible
  • No mixing of files, credentials, or operational data across accounts
  • Password managers when provided
  • Two-factor authentication enabled wherever available
  • No unsecured credential storage or sharing

Yes. I'm comfortable signing NDAs and confidentiality agreements for both short-term and long-term engagements, typically within 24 hours.

For planned leave, I give advance notice and make sure critical tasks, updates, and documentation are properly organised before stepping away.

For unexpected situations, I communicate as early as possible and prioritise urgent operational continuity. Depending on the engagement, hours may be rescheduled, deliverables adjusted, or retainers partially prorated if availability is significantly affected.

iv. Payment & admin

I invoice in USD or GBP. Accepted payment methods include Wise, PayPal, and international bank transfer.

Retainer engagements are billed monthly in advance, unless otherwise agreed.

Yes. Professional invoices are provided for all engagements and include service breakdown, billing period, currency, invoice reference number, and payment details. Issued monthly unless a different arrangement is required.

For ongoing retainers, I require 14 days' notice for pauses or termination. This gives both sides time for proper handover, documentation updates, transition support, and access management.

Flexible pause arrangements may also be discussed depending on availability and project status.

v. The work

I primarily support founders, e-commerce businesses, operations-heavy companies, fast-growing teams, and small to mid-sized businesses.

Industries I've worked across:

  • E-commerce and retail
  • Manufacturing and sourcing
  • Recruitment and HR support
  • Technology
  • Crypto and finance
  • Medical and healthcare-related businesses
  • Sporting goods and outdoor brands
  • Property and real estate operations
  • Service-based businesses

Most of my clients value operational structure, reliability, responsiveness, discretion, and proactive execution.

I work independently, and clients work directly with me throughout the engagement.

I personally handle communication, operations, coordination, execution, and day-to-day support, so there's consistency, accountability, and a strong working relationship.

Let's talk.
